To help you get back to new candidates in a timely manner, the first reply status on the job overview page and the candidate profile lets you know which new candidates are still waiting for a reply after they've sent their application:

What is the first reply status?

The first reply status lets you know which candidates are still waiting for a reply after receiving their initial confirmation email. You'll see this status appear on the job overview page and candidate profile. You can choose how many days must pass between receiving an application (and sending out a confirmation email) and when a candidate's status changes to "First reply overdue". This timeframe can range across 3, 5, 7, 14 and 30 days. The status will appear on the profile and overview page when your set timeframe has passed. Once you've sent the candidate a reply, the status will disappear from the overview and the profile.

Note: Keep in mind that the confirmation email does not count as a reply to your candidate.

Setting a default first reply timeframe

You can set a default first reply timeframe. This timeframe will be applied to all your new job openings.

  1. From anywhere in the tool, click your profile in the top left corner and click Settings

  2. At the left, click Hiring process, displayed at 'Candidates'

  3. Scroll down to 'First reply status'

  4. Set a timeframe by selecting the number of days that need to pass before the first reply status appears

  5. Changes are saved automatically

Setting a custom timeframe for a specific job opening

You can set a custom first reply timeframe for specific jobs. This timeframe will only be used for that particular job opening.

  1. From the menu on the left, click the job that you want to add a custom timeframe to

  2. Click the Settings icon at the top

  3. At the left, click 'First reply status'

  4. Set a timeframe by selecting the number of days that need to pass before the first reply status appears

  5. Changes are saved automatically

Don't need the first reply status?

You can also switch off the first reply status by switching the toggle in the job settings (for one job) or on the Hiring process page in your company settings account, for all jobs.

Note: These are not personal settings and if changed, the status will be switched off for everyone in your account.
