Homerun uses three job states: draft, active (public, private and closed) and archived. Learn what they mean in this article.

Understanding job states

We use job states to refer to the different states a job opening can be in. Job states help you organize and track the progress of your hiring process. We use three job states: draft, active and archived. The active state has three visibility statuses: public, private and closed.

Types of job states

Homerun has three types of job states that are used in the hiring process:

  1. Draft

  2. Active, with three visibility statuses:

    1. Public

    2. Private

    3. Closed

  3. Archived

Draft job state

When creating a job post in Homerun, you'll first come across the draft job state. The draft job state is the default state for all new job openings. This means that the job opening has not yet been published and is still being created and/or edited. When a job is in draft state, it's not visible to the public and can only be viewed by yourself and anyone you have added to the hiring team.

Active job state (public, private and closed)

Under the active job state, we define three different visibility statuses. With these statuses, you can determine who can view and apply for the job. The three different visibility statuses are public, private and closed.

  1. Public: the public visibility status means that the job opening is visible to external candidates and applications are actively accepted. This state indicates that the job is being advertised widely and is open for applications.

  2. Private: the private visibility status means that the job opening is not publicly visible but is only accessible via a private share link. You can use this status for internal roles, promotions or by targeting specific candidate pools.

  3. Closed: the closed visibility status means that applications for the job posting are no longer being accepted, but the hiring process continues with the candidates who have already applied. You can still communicate with candidates, schedule interviews, and complete the hiring process. You can use this status when you have received enough applications or reached a stage where no new applications are needed, but you still need to complete the hiring process.

Archived job state

You can archive a job when a position has been filled or when a position is no longer available. When a job is archived, it will no longer be publicly visible. You will no longer be able to communicate with candidates and all remaining to-do's in the job will be marked as completed.

Note: You cannot edit or publish an archived job. If you want to make changes to an archived job, you need to unarchive it first and then make the edits you want.

FAQ

How do I change my job's state or visibility status?

  1. From the sidebar on the left head to the 'Jobs' page.

  2. Hover over the job you would like to close and click the three dots (...) on the right.

  3. Depending on your preference, select either 'Public', 'Private', Closed' or 'Archive job'.

Updating your job's visibility status via the job page

  1. From the sidebar on the left, click on a job opening under 'Your jobs' or head to the 'Jobs' page to navigate to the job.

  2. Select the job you would like to close and then click the three dots (...) in the top right corner.

  3. Click 'Closed'.

When is a job active?

Jobs that have the status 'Public', 'Private' or 'Closed' are seen as active and take up one job slot. These jobs are active because you can communicate with candidates and actively work on your hiring process. As a recap:

  • Public jobs are visible on your career page, can be found via search engines or any other social media channels you shared the job on, and candidates can apply.

  • Private jobs can only be accessed with a private link, and anyone with this link can apply.

  • Closed jobs do no accept applications any longer, so you can get through and wrap up your hiring process.
