Tracking candidates through the hiring process by enriching candidate data

Knowing where your candidates come from can help you gain valuable insights in your hiring process. Are you reaching the right group of candidates? What platforms deliver the best candidates? Where do hired and disqualified candidates come from? Also, after disqualifying candidates, what was the reason they were disqualified? In this article, we'll explain how combining the source, origin, and disqualification reason of candidates can help you answer these questions.

Understanding where your candidates are coming from

When a candidate enters the hiring process, the candidate has an origin. This shows how the candidate entered the hiring process. This could be either applied (where the candidate filled in your application form), or sourced (where the candidate was manually added). You can enrich this origin of a candidate by setting a source. This can tell more about where you found the candidate, or how the candidate has found your job.

For example, if you found a candidate on LinkedIn and encouraged them to apply, you can then change the source to 'LinkedIn' and the origin to 'Sourced', even though the candidate has applied.

Setting the source and the origin on the candidate profile will give you better control over the candidate data, insights of the job opening, and of your whole account.

Disqualifying a candidate

If you want to disqualify a candidate you can do so by clicking the the Disqualify icon on the candidate profile.

This will open a pop-up with several options:

  • If you want to notify the candidate by email, you can compose an email (or make use of a template). Click Send

  • If you don't want to notify the candidate just yet, you can create a to-do for yourself or assign it to a colleague. Click Create

  • If you don't want to notify the candidate at all, just click Done

Candidates that are disqualified will remain in the job on your dashboard. You can find them by clicking the 'Disqualified' stage in the upper right corner of the overview of the job. From here, you can move candidates to another job opening, delete them, or save them in the job.

Hiring a candidate

When you find a right candidate for the job, you can move the candidate to the Hired stage. You can simply drag and drop the candidate to the Hired stage from the Overview page:

Another way to do this is by changing their current stage on their profile.

After you have closed the job, all the candidates will be saved within that job. You can look back and evaluate the hiring process by clicking the Insights icon. This will show you where candidates came from and how many of them were rejected or hired. You can also create an export to get more detailed information (when candidates applied, their source and origin, and in what stage were candidates they were rejected).
