Candidate profile overview
The candidate profile page is where you find all the information about the candidate and includes the following:
A task bar to perform actions
Contact info
A message modal with all candidate communication
The candidate's past and current hiring stage
The candidate's activity log
Portfolio and/or résumé
Their website(s) and social media
Answers to questions you asked in the application form
Ratings and notes you and team members left
Managing the candidate
At the top of a candidate profile, you'll find the following key elements:
A task bar that allows these actions:
Adding to-do's by clicking the checkbox icon;
Adding comments by clicking the speech bubble icon.
Moving the candidate to a different stage by clicking the arrow icon.
Disqualifying the candidate by clicking the 'forbidden' icon.
Sharing the profile externally.
Copying the candidate to another job.
Options to edit, print, or delete the candidate profile.
Candidate's name and photo.
The job they applied for and the application date.
A message button:
Clicking the message button will open up a message modal where you can email the candidate and see all past communication.
Any websites and social media links.
If a candidate has applied before and/or when there's no data retention period set, a banner will be displayed just below the message button.
Dedicated pages for each hiring stage
By scrolling down a bit, you'll find the 'Hiring stages'. Here you'll see a candidate's past hiring stages and the current hiring stage. Any upcoming events are highlighted in the hiring stage bar and can serve as reminders, or help you prioritize what to do next.
Clicking on one of the hiring stages will take you to the dedicated Hiring stage page.
Each hiring stage has a dedicated page where you can find the events, reviews & scorecards per stage.
Candidate activity log
Below the 'Hiring stages', you'll find the 'Activity' section. The candidate activity log displays important actions you or your team members have completed, for example messages that have been sent, event actions, moving the candidate to a different stage or job and changing the data retention period. You can view the entire activity log by clicking 'View all' or pressing 'a' on your keyboard.
The full activity log includes:
How the candidate was added to the job (sourced or added)
When the candidate was moved to another job and by which team member
When you, your team members and the candidates have sent emails
Past, scheduled and updated events
Requests to extend the data retention period (you can read more about this right here)
Whether the candidate has accepted or rejected the request for the data retention period
When the candidate was moved from another job to the current job
When the candidate was disqualified and why (if a disqualification reason was added)
When the candidate was re-qualified
Staying in touch with the candidate via email
Clicking the 'Message' button at the top of the profile opens a message modal where you can email the candidate and see all past communication. It also shows the confirmation email they received right after applying.
The candidate's application
The most important part of the candidate profile is the actual application. This includes uploaded files, education, experience, answers to questions asked in the application form and a candidate's assignment. This information can be different per profile as it is based on (mandatory) fields and questions asked in your application form(s).
You can edit the candidate's application by clicking the three dots in the task bar and then clicking Edit candidate.
Contact info & about section
Towards the bottom of the candidate profile is the 'Contact info' section. This is where you'll find basic information the candidate has shared through the application form. This information can be different per profile as this is based on (mandatory) fields and questions you asked in the application form.
Discovering the candidate profile's actions
Enriching candidate data
You can change the origin (whether the candidate applied themselves or was sourced by you), and/or enrich it by setting a source. The source can tell you more about where you found the candidate, or how the candidate has found your job. You can further enrich the profile by adding tags, which will help you categorize and more easily find candidates at a later time.
Any tags and sources that have already been added to the candidate are displayed here. You can add new ones by clicking '+ Add source' or '+ Add tag' or remove existing ones by clicking the small x next to the tag/source. You can read more about tags and about adding a source to a candidate.
A reminder of when the data retention period will end is shown at the bottom of the page. Whenever the data retention period expires, a banner will appear at the top of the candidate profile.
Reviewing the candidate with your team
The application review
When a candidate applies, they are placed in the 'Application' stage which is where you will do your first review of the candidate. You can start your application review by clicking the 'Application' bar under 'Hiring stages'.
By clicking 'Add review' in the right-hand sidebar, you will be able to rate the candidate and leave a comment. You can edit or delete your rating by clicking 'Edit' or 'Delete' under the review you submitted.
The stages of the hiring process
The individual hiring pages are where most of the communication with your team members will take place. Clicking on one of the hiring stages will take you to the dedicated hiring stage page. Each hiring stage has a dedicated page where you can find the events, reviews and scorecards per stage.
To-dos
The to-dos provide an overview of all open and completed to-dos linked to that candidate. You can also add a to-do for yourself, or a team member. Read more about creating to-dos.
Comments
Adding comments is possible by clicking the speech bubble icon in the task bar, or pressing 'c' on your keyboard. This will open up the sidebar on the right, and it's where your team can share any comments or practical information about the candidate or hiring process. You can notify one of your team members by @mentioning someone, or use the @team tag to send a notification to everyone on the hiring team.
